TETON VALLEY FOOD PANTRY (TVFP)

Job Description

Food Pantry Administrator, Part-time (20-25 hours per week)

 

Summary: Under the direction of the Board of Directors, the Food Pantry Administrator oversees the operations of the food pantry, including supervision and coordination of food pantry volunteers, purchasing and restocking of food pantry items, cost and quality control, monthly statistics and reports, and other duties as assigned.

 

Essential Duties & Responsibilities:

  1. Develop, document, implement and update, as needed, Standard Operating Procedures and processes for community food pantry that define service population, hours of operation, food ordering practices, inventory rotation, food distribution model and process for completing and storing client paperwork.

  2. Work with Board of Directors to plan/implement programs and services that support the Food Pantry’s mission, vision and strategic plan.

  3. Manages food pantry inventory, including ordering, receiving and stocking, within allocated budget.

  4. Work with Board to implement a food sourcing strategy for the pantry.

  5. Trains, schedules and provides supervision of food pantry volunteers.

  6. Creates and maintains calendar for food distribution.

  7. Oversees emergency food distribution.

  8. Manages client and distribution databases, ensuring accuracy and confidentiality.

  9. Organize and coordinate with local organizations and businesses re: food donation drives.

  10. Create and assure a safe working environment for staff, volunteers and clients in accordance with all applicable health, safety and employment laws.

  11. Schedule regular facility and equipment cleaning and maintenance.

  12. Attend regional Food Bank meetings as needed.

  13. Attend local Systems of Care meetings as professional representative of the organization.

  14. Provide weekly and monthly reports to Board of Directors.

  15. Supports Board of Directors’ fund development efforts.

  16. Supports Board of Directors’ communication efforts, including website and social media.

  17. Identifies goals and annual training for self and volunteers.

  18. Acts as professional representative of organization.

  19. All other duties as assigned.

Relationships:

• Internal: Frequent contact with volunteers. Communicate regularly to receive and provide information.

• External: Regular contact with food bank clients, donors, vendors, local businesses, local organizations and stakeholders.

 

Skills/Competencies:    Strong organization, communication and people skills are required, as well as proficiency in Microsoft Office programs (MS Word, MS Excel). Individuals must understand the importance of collecting data related to pantry services for evaluation and reporting purposes.  Candidates must represent TVFP with professionalism when interacting with clients, volunteers, community members and staff.
